For the purposes of UK data protection law, Palatine Editions is the controller of the personal information described in this policy.
2. Information we collect
The information we collect depends on how you interact with Palatine Editions. It may include:
- Contact and delivery information, such as your name, email address, telephone number where required, billing address and delivery address.
- Order information, including the works and variants you purchase, order value, delivery method, order status, returns, refunds and correspondence about your order.
- Account information, if you choose to use a Shopify customer account, including account identifiers and preferences.
- Marketing preferences, including whether and when you have chosen to receive emails from Palatine Editions.
- Communications, including information you provide when you contact us.
- Device and usage information, such as IP address, browser and device information and information about your use of the website, where permitted by your privacy and cookie choices.
- Payment and transaction information. Payments are processed through Shopify and applicable payment providers. Palatine Editions does not itself intentionally store full payment-card details.
We do not ask customers to provide special-category personal information in order to purchase our products.
3. How we use your information and our lawful bases
UK data protection law requires us to have a lawful basis for using personal information. The bases principally relevant to Palatine Editions are contract, legal obligation, legitimate interests and consent.
Processing and fulfilling orders
We use your information to take and confirm orders, arrange production and delivery, process returns or refunds and provide customer service connected with your purchase.
Our lawful basis is principally contract, because the processing is necessary to provide the goods and services you have requested.
Producing and delivering orders
Palatine Editions uses Prodigi as its print-production and fulfilment provider. Information necessary to manufacture and deliver an order may therefore be supplied to Prodigi and, through Prodigi, to appropriate production, fulfilment and logistics providers.
Our lawful basis is contract.
Prodigi acts as a processor of merchant customer information when providing fulfilment services on our behalf. Information used for fulfilment can include the recipient's name, delivery address, contact details where required, order details and product configuration.
Customer accounts and enquiries
We use personal information to provide optional customer-account facilities, answer enquiries and deal with customer-service matters.
Our lawful basis is contract where processing is necessary to provide a requested service. Otherwise, we rely on our legitimate interests in administering Palatine Editions efficiently and providing effective customer service.
Security and fraud prevention
We and our service providers may use information to protect accounts and transactions, detect or prevent fraud and misuse, and maintain website, payment and business security.
Where applicable, we rely on legal obligation or on our legitimate interests in protecting our customers, our business and our systems from fraud, misuse and security threats.
Legal, tax and accounting requirements
We may retain and use information where necessary to meet obligations relating to taxation, accounting, consumer protection, disputes, regulatory requirements and other applicable laws.
Our lawful basis is legal obligation.
Marketing emails
Palatine Editions may send occasional Notes from Palatine and, where applicable, a single abandoned-checkout reminder to people who have chosen to receive marketing emails from us.
Our lawful basis for this marketing is consent.
You may withdraw your consent at any time by using the unsubscribe facility included in our marketing emails.
Cookies, analytics and personalisation
Cookies and similar technologies that are necessary for the operation of the store may be used where permitted without optional consent.
For visitors in regions where consent is required, optional cookies used for analytics, marketing or personalisation are not activated unless the visitor chooses to accept them.
Where consent is required, our lawful basis for the associated processing is consent.
You can review or change your choices using the cookie-preferences controls on the website.
4. Shopify and Shopify Network Intelligence
Palatine Editions is hosted by Shopify. Shopify processes personal information when visitors browse the store, create an account, make a purchase or use Shopify services.
Palatine Editions currently has Shopify Network Intelligence enabled. Shopify may use information from interactions with Palatine Editions together with information from interactions with Shopify and other Shopify merchants to provide and improve certain Shopify services.
For customers in the UK, EEA and Switzerland, Shopify requires merchants using Network Intelligence to obtain consent for relevant non-essential tracking and to provide access to Shopify's own privacy controls. Shopify states that where a visitor declines non-essential cookies through an appropriately configured consent banner, relevant device data is not used by Shopify Network Intelligence for non-essential purposes.

5. Who we share information with
We disclose personal information only where reasonably necessary for the purposes described in this policy. Recipients may include:
- Shopify, which provides the ecommerce platform and associated services.
- Prodigi and its production and fulfilment network, where required to manufacture and dispatch an order.
- Postal, courier and logistics providers, where necessary to deliver orders and resolve delivery matters.
- Payment and fraud-prevention providers, where necessary to process or protect transactions.
- Technology and service providers used to operate, administer and secure the store.
- Professional advisers, such as accountants, insurers or legal advisers, where necessary.
- Regulators, courts, law-enforcement bodies or other public authorities, where disclosure is required or permitted by law.
We do not provide Palatine Editions customer lists to other merchants.
Some US privacy laws use particular definitions of sale, sharing and targeted advertising which can apply to certain uses of data even where information is not sold in the ordinary meaning of that word. Shopify therefore provides privacy controls for customers in relevant US states.
You can access Palatine Editions' data-sharing opt-out facility here:
Your Privacy Choices:

6. International transfers
Shopify, Prodigi and other service providers operate internationally. Personal information may therefore be processed outside the United Kingdom.
Where UK data protection law restricts an international transfer, an applicable lawful transfer mechanism must be used, such as UK adequacy regulations or appropriate contractual safeguards.
Prodigi's current Data Processing Addendum provides for safeguards where restricted international transfers occur within its fulfilment network.
You may contact us if you would like further information about safeguards relevant to your personal information.
7. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected.
The period will depend on factors including whether the information is needed:
- to perform or document an order;
- to deal with customer service, returns, refunds or disputes;
- to prevent fraud or maintain security;
- to comply with tax, accounting or other legal obligations; or
- to establish, exercise or defend legal claims.
Marketing subscription information is retained while you remain subscribed.
If you unsubscribe, we may retain sufficient information to ensure that your marketing preference continues to be respected.
8. Your rights
Depending on the circumstances, UK data protection law may give you rights to:
- request access to personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information in certain circumstances;
- ask us to restrict processing in certain circumstances;
- object to certain uses of your information;
- receive certain information in a portable form where that right applies; and
- withdraw consent where processing is based on consent.
The availability of particular rights depends partly on the purpose and lawful basis for the processing.
Where we rely on legitimate interests, you may have a right to object to that processing.
You have an absolute right to object to the use of your personal information for direct marketing.

Where those rights apply, you can use:

Shopify also supports applicable Global Privacy Control signals through its privacy settings.
10. Children
Palatine Editions is not directed at children and we do not knowingly seek children's personal information for marketing purposes.
If you believe that a child has provided personal information to us inappropriately, please contact us.
11. Security
We use Shopify and other established service providers and take reasonable organisational and technical measures intended to protect personal information.
No method of electronic transmission or storage can guarantee absolute security.
